FINANCE NOTICE - 2008 Registration Financial Aid - As described in the spring newsletter, the application period for registration financial aid closed May 1. Letters to all applicants who had submitted registration financial aid applications through May 1st  were mailed out May 3rd  to provide notice of the equal share amount the league was able to award towards their child?s 2008 registration fees and the balance due that must be paid prior to May 31. All financial aid applicants should return the amount due as soon as possible to complete the registration of their player

Welcome to LYSL. This page was created to help explain the financial process and policies of the league, what the money is used for to the benefit the players, and answer commonly asked questions. (posted 5/13/08)

Below are explanations of league fee structures, financial aid options, refund and reimbursement requests, fundraising, and donations. This should address most questions on these areas. A new webpage for Team Treasurers has been created also.

When it comes to money, even in a non-profit organization such as LYSL, there are always many questions about finances. Some of the more frequently asked questions should be answered on this page. If not, please let us know. We are here to help.

FEE STRUCTURES

There are two basic types of fees the league charges its players. Every player must pay a league registration fee. Player in the High Comp program pay an additional fee. Both fees are described below. Keep in mind that the specific amount of these fees is subject to change each year based on estimated costs during the budget process at the beginning of the fiscal year. The league does attempt to keep the cost to the members low, while maintaining enough available funds to provide sufficient resources to teams to play and enjoy the games.

Registration fees are charged to every player upon registration into the league. The amount is typically determined during the league's budget process before the registration event. It is based on the costs of the programs and administration expenses of previous years and an estimation of the expenses for the upcoming year. Budgeting is not an exact science by any means, but based on educated estimates.

High Comp fees are paid by member families for each player that accepts a position on an LYSL High Comp team. This fee covers some of the extra expenses that the high comp program incurs. Such fees may include hiring consultants for coach training, lights for fields, high comp training, and other such resources.


FINANCIAL AID

In order to provide soccer to players in all economic situations, the league budgets two small funds for families to apply for financial aid. These funds are limited, so not all requests may be honored. To request to participate in the financial aid program, please complete the appropriate form below or contact the Director of Finance at 461-7570, 2#, finance@lysl.org or write to that person at the league PO Box 881, Livermore. There is a deadline to apply before the available funds are distributed, so check the dates for the current year. Once the funds have been distributed, no more requests will be honored in the same year. Be aware the approval of financial aid for registration does not guarantee approval of a request for High Comp aid; and visa-versa.

Registration Aid: Every player participating in the league must pay a registration fee. This fund exists to help members with the costs of basic registration into the league. Recipients of this fund are required to come to an agreement for a payment plan to reimburse the funds or be available to work for the league on an hourly basis as reimbursement of the funds received. The league Registration Financial Aid form is required to be filled out completely and turned in prior to the deadline to be considered.

High Comp Aid: The purpose of this fund is to assist families that are selected to participate in the high comp program that have limited financial means. The league High Comp Financial Aid form is required to be filled out completely and turned in prior to the deadline to be considered. This form is different than the Registration Aid form.

REFUND AND REIMBURSEMENT REQUESTS

REGISTRATION REFUNDS - The league understands that situations arise where a player can not play this season. Requests for registration refunds must follow the steps below to better serve our members. Keep in mind that some registration fees outlined in the policy are not refundable and that no registration refund requests submitted after August 1 will be processed.

HIGH COMP FEE REFUNDS - Requests for high comp fee refunds must follow the steps below to be considered. Keep in mind that some high comp fees are not refundable as some monies are not refundable to the league at various points in the season.

COACH LICENSE/TRAINING REIMBURSEMENT - LYSL offers support for its coaching staff getting better trained. This includes helping cover the costs of some coaching licenses. It is ALWAYS recommended to ask for approval prior to incurring the cost.

OTHER REIMBURSEMENTS - Sometimes there are reimbursements that are appropriate for consideration that are not covered by specific policy. For those occasions, a reimbursement can be requested, but as always, there is no guarantee that it will be approved. It is ALWAYS recommended to ask for approval prior to incurring the cost.

  • Mail or email in the request for the refund to the Director of Finance (finance@lysl.org), PO Box 881, Livermore, CA 94551-0881, ATTN: Director of Finance.

  • Include the reason for the request, Provide the name, address, email, and phone number of the person making and receiving the reimbursement. Receipts/proof of expense required with the request.

FUNDRAISING

Teams often do fundraising events to help cover the costs of the team and tournaments. ALWAYS make sure that fundraisers are appropriate for youth and covered by our insurance policy (insurance@lysl.org). Even car washes and other typical events must get insured by the league before their are held.

DONATIONS

The league accepts donations to the teams and/or league. When a team receives a donation, they must file the form below with the payment to the league. Once it has been processed, the team receives a check from the league and the donor gets an official acknowledgement letter that their donation has been received. When that letter, the donor can take a tax deduction (as per IRS rules) for their donation.

Money that is donated to a team must be funneled through the league for it to be a legal tax deduction. Upon receipt, the donor will get an acknowledge letter as proof of donation and the team will be issues the funds in by league check. (updated 01.25.06)  


FREQUENTLY ASKED FINANCIAL QUESTIONS

Question: How much does it cost to register for the league?

Reply: The league's registration process is listed on the ABOUT LYSL page. The NEWS page has the current year's registration details and fees. The fees are subject to change from year to year, depending on estimated costs of the league for that year. Once they are set, those are the amounts for the rest of the season.

 

Question: Is there a discount when registering more than one player?

Reply: At this time there is no a discount for registering more than one player.

 

Question: What do the fees pay for?

Reply: Registration fees are set based on the estimated costs of the playing programs and the administration of the league. This includes the CYSA fees for players, equipment and maintenance, referee fees, field rental, balls, Technical Director, and other typical organizational costs. High Comp fees cover high comp specific costs such as lighting, field, and equipment. For a peek into overall league costs, check out the league expenses recently (click here).

 

Question: What is Financial Aid and how can I apply?

Reply: Registration Aid can be applied for at the registration event or by downloading the form from the website and turning it in by the form's listed deadline.
